Need to update member details in bulk? OpenSports makes it quick and easy with the Import Member Details feature. In just a few steps, you can upload a CSV file to add or update member information, saving you time and avoiding manual data entry.
The Import Member Details feature lets you quickly update member fields (phone numbers, membership status, skill level, etc.) and add new information to Admin or Member Forms. It’s a fast way to fix outdated contact information and keep records accurate.
Step 1 - Set up your Member Forms
Before importing, make sure your Member Forms contain all the necessary fields. Choose which form you’re updating:
Import Member Details: updates player-facing forms (players will see these updates).
Import Admin Member Details: updates admin-only records (players will NOT see these updates).

Step 2 - Prepare your CSV file
You can match members in two ways:
Matching Method | Best For | Notes |

Match by Email | Data from another system. | Email must match the email used to log in on OpenSports. |
Match by User ID | Updating current members on OpenSports. | Export your member list, update details, and keep the User ID column unchanged. |
Tips for preparing your file:
Use the Export tool in Group Profile > Dashboard > Members to download a CSV of your current members. Make edits directly in the spreadsheet instead of starting from scratch.
Format dates as YYYY-MM-DD. (Example: January 1, 2026 should be written as 2026-01-01)
The importer is case-sensitive. Use exact spelling and capitalization (example: Beginner is not the same as beginner).
Save your file as .csv.
Include key columns such as First Name, Last Name, Email.
Double-check for typos and missing required fields.
Step 3 - Upload your CSV
Go to Group Profile > Dashboard.
Select Members in the left menu.
- Click the Import tab.
- Choose your Import Type:
Import Member Details → For Member Form responses (player-facing).
Import Admin Member Details → For Admin Member Form responses (admin-only).
- Upload your CSV or paste information directly from CSV into the text box.
Step 4 - Match members
You can match by:
User ID → Use the ID from your exported member list.
Email → Best for importing from external systems.
Note: If some members appear as Missing Members, check that emails or User IDs match exactly.
Step 5 - Map fields
For each form field, use the dropdown menu to choose the corresponding column from your CSV. To skip a field, select Ignore Column.
Step 6 - Invalid or missing data
If an import has invalid or missing data, the system will highlight the mismatched fields. You can then choose how to proceed:
Flexible Import: This option updates all users while skipping over invalid or missing cells. It’s useful if you want the import to go through quickly without being blocked by small errors, but keep in mind those erroneous values won’t be applied.
Strict Import: This option only updates users with completely valid data. It ensures accuracy and consistency as users with any erroneous values will be skipped over.
Step 7 - Validate & import
Click Validate to preview updates.
Review changes for accuracy.
Select Import Data.
Click Confirm to finalize.
Tips for a smooth import
Test first: Import 5-10 members to confirm formatting.
Be consistent: Use the same column names across files.
Check for typos: Especially in email addresses and drop down values.
Save a backup: Make a backup of the current member list before importing.
