Support Center Reporting

We’ve enhanced the Support Center with a new reporting dashboard, now available under Reports. This dashboard provides key metrics to help you monitor and optimize your support process:

  • Number of Cases: Track the total number of support cases created.
  • Average Time to Close: See how quickly cases are resolved on average.
  • Open Cases: Monitor unresolved support cases at a glance.

We’ve also added two charts for better insights:

  • Cases Opened by Date: Identify daily trends and any spikes in activity.
  • Cases Volume by Hour: Pinpoint when players most frequently need assistance.

With these updates, admins can optimize staffing, improve response times, and stay on top of their support game.

Edit/Remove Messages

Messages in your OpenSports chats can now be edited or removed, both on the app and on the web.

If you want to restrict this functionality to prevent abuse, we've added a new section to the group settings page that will let Group Admins control who can edit/delete messages - either members and admins, only admins, or nobody.

Messages that are edited appear as "edited" for everybody, and messages that are removed will be replaced with a "removed" message for everybody. These actions can be used for content moderation, to update a misleading message, or just to fix a simple typo.

Message Reactions

You can now react with emojis to messages in all of your OpenSports chats! Send a thumbs up to let your friends know you can make it, send a heart to a teammate that is injured, or react with any other emoji that you want.

Event Order Notification Preferences

We've added the ability to turn off the push notifications you receive when someone registers for an event you created.

To see your notification preferences on the web, go to your user profile, then click "Edit", then click on "Notification Preferences". The "Event Orders" option is the setting you're looking for!

On the app, go to your profile tab, then click the "Settings" gear in the top right, then scroll down and find the button to the "Notification Preferences" screen.

Event Invite Filters

You can now use Member Rules to to filter your event invites to the people that are most likely to register for your event!

Member Rules can be used to filter for starred members, or members with a given set of tags, just like the old event invite system, in addition to all the other support condition types. For example, you can filter for members that have attended a similarly tagged event in the past, or filter your users by Member Details or Admin Member Details.

Calendar Drag & Drop

You can now drag and drop events, matches, and sessions on the group calendar to reschedule them to a different time/location. You can also resize an activity to change its length. You'll be prompted to confirm any changes you make, so you won't need to worry about accidentally making changes when on the calendar.

It is now also possible to change the zoom of the calendar, allowing you to zoom in on short activities, or see your organizations full schedule for the day at a glance.

Support Center

We’ve launched a new support system to help you handle player questions more effectively. Once enabled, players can create support cases from your group page or from their league or tournament dashboard, which can then be assigned to and managed by support agents.

Admins have a new interface on both web and app, providing an all-in-one view of player information, recent cases, and support case management. Agents are auto-assigned when they respond or can assign cases manually.

When viewing their league/tournament schedule on the app, players can now filter matches by date range, or by team. They can choose to see their own team's matches, a specific team's matches, or the schedule of the entire league/tournament.

Event/Program Registration Restrictions

When creating the registration options for your events or programs, you can choose to restrict registration to members which satisfy the conditions of one of your Member Rules. When members who do not satisfy the rule try to register, a customizable, markdown-based error message will be shown, so you can explain clearly why they were not able to register.

This feature is highly flexible — it can be used to create age-restricted or skill-level-restricted activities, or provide discounted registration options to specific members.

We're excited to see what new use-cases this will open up for OpenSports groups!

Group Announcements Rework

We have massively upgraded our group announcements system! There are three main new additions:

  • Send Later: You can now schedule group announcements so they are sent at a later date. You can update the content of an announcement at any point, or delete it entirely so it does not get sent out.
  • Recipient Filters: The recipients of a group announcement can now be filtered using Member Rules — only the members which match the conditions of all the selected Member Rules will receive the announcement!
  • Title and Photo: You can also attach a title and photo to group announcement to make them more visually compelling.

Member Rules

Instead of needing to re-create your list of conditions every time you want to filter through your group members, you can now create and save these conditions as "Member Rules". These member rules can be combined with other member rules, or custom rules — where you can add conditions on-the-fly — to search through your list of members.

These rules can also be used when sending group announcements, to ensure the announcement only gets sent to members that match your rules. They can also be used when creating registrations for your activities, so that only users that match your rules will be able to register.

To get started, navigate to the "Settings" section on your admin dashboard and click on "Member Rules" to create your first rule.

Embed Setup

You can now create customized widgets for your website that will list your leagues, events, and tournaments open for registration. Utilize our two-level filters to make it easy for your players to quickly find events that match their interests and availability. Additionally, you can restrict the content displayed on each widget to specific sports, venues, or skill levels, and customize these widgets by setting an accent color to match your brand. To get started, navigate to the "Settings" section on your admin dashboard and click on "Embed" to create your widgets.

Advanced Member Filters

You can now filter your members by their responses to your Member Forms or the data you have saved for them in the Admin Member Form. Combine multiple conditions together to perform advanced searches! To get started, click the "Filter" button in the "Members" section of your group dashboard.

View Attendee Responses At Check-in

You can now quickly see players' responses to custom questions right on the event check-in screen. This helps you better plan events and organize teams. Simply go to the check-in screen, click on "View Attendee Details," and select the questions you're interested in.

Member Forms

Group Member Forms significantly improve the registration experience for all your activities. Group admins can now set up these forms and select the data to collect from your members, such as emergency contact information, skill level, or birth date. When users join a group on OpenSports or sign up for their next activity, they will be required to answer these questions. Key highlights include:

  • Streamlined Data Collection: Members fill out the Member Form upon registering for their first activity or upon joining your group. They won’t need to re-enter data unless the form is updated. If new questions are added, members will be prompted to complete the form again during their next order. Previously provided responses will be carried over automatically, allowing members to update their information if necessary.
  • Expanded Form Fields: Admins can choose field inputs such as textboxes, dropdowns, phone numbers, emails, dates of birth, or numerical fields when setting up questions.
  • User-Level Access Control: Members can update their details at any time. However, you can restrict certain fields, allowing members to only enter data initially or preventing them from responding to a field altogether. For example, birth dates might be set as a one-time entry, while skill levels could be restricted if a coach assigns ratings.
  • Granular Admin-Level Data Access: Group admins can always view and update their members’ data. They can also grant view or edit access on a per-question basis. For instance, event assistants might need access to view a member’s skill level but not their birth date.
  • Data Import, Export, and Syncing: Admins can import Member Form data from existing systems into OpenSports and export data as a CSV file. Additionally, with our new Zapier trigger, data can be seamlessly synced to CRMs like Mailchimp, Hubspot, or Salesforce, or used to populate apps such as Google Sheets as soon as it’s entered.

To get started, visit your group Dashboard on the web, click ‘Settings’, and then select ‘Member Forms’. We’re excited to see how this feature benefits your organization!

Calendar Sync For Players/Staff/Admins

Users can now sync their event and match schedules with their preferred calendar applications, like Apple Calendar, Google Calendar, and Outlook Calendar. Additionally, there’s an option to download an .ics file for those who want to use other calendar apps. Choose from different types of calendar subscriptions based on your role:

  • Player Calendar: upcoming activities that you’ve joined
  • Staff Calendar: upcoming activities that have been assigned to you
  • Admin Calendar: upcoming activities for groups you administer

To sync your calendar, simply open the app and navigate to the first tab. Then, tap the icon in the top-right corner. For players, it’s a feed icon. For staff and admin accounts, it’s a "+" icon that on tap will open a menu with the "Sync Calendar" option.

Custom Skill Levels for Events and Programs

When setting up an event, you have the option to input a custom skill level rather than choosing from the default system options. This feature is particularly useful for events accommodating multiple skill levels, like 'A / AA' in volleyball or '4.0 / 5.0' in pickleball or tennis.

Temporary Member Bans

You can now temporarily ban members from your organization. Banned users are prevented from signing up for events, leagues, and tournaments. If they have already registered for upcoming events or are on the roster for upcoming matches, staff will be unable to check them in and receive an error message clearly letting them know that the member is banned.

Enhanced Discount Configurations for Event Staff

We've made updates to how event staff are charged for events they're managing. Here are the detailed configurations:

  • Assigned Staff + Their Guests Receive Discount: Staff members assigned to an event can register and bring along any number of guests, all without any charges.
  • Assigned Staff Receive Discount: Staff members assigned to an event can register without paying their registration fees. However, standard charges will apply to any guests they bring along.
  • No Discount: Staff members assigned to an event will need to pay full price for themselves and any guests. Note that if you've set up discounts for staff separately, they'll be able to use those discounts automatically.

Note that the above discounts ONLY apply to staff assigned publicly or privately to events. Contact OpenSports Support with any questions.

Bulk Assign Home Team

You can now set the home team in bulk after selecting one or more matches from the match list. No notifications will be sent as a result of this operation.

Click the checkbox before either of the teams' name to mark that team as the home team. The un-checked team will be marked as the away team.

Two New League Reports

You'll find two new reports under the League and Tournament heading on the Reports page in the Admin Dashboard:

The Overview report gives a breakdown of revenue and number of registrations by UTM code. Analyze by source, campaign, or medium to optimize your marketing campaigns.

The Revenue report details the amount paid and refunded as well as the number of registered players and teams for each league / tournament.

Bulk Add & Update Event Photos

Flexible League and Tournament Refunds

Built-in Forfeit System

By setting up a forfeit configuration for your league or tournament, captains and admins will be able to forfeit upcoming matches. Once a match is forfeited, both players and assigned staff members will be instantly notified, so nobody has to have the awful experience of showing up to an empty field!
